Position Overview We are seeking an experienced Executive Assistant to provide high-level administrative support to our CEO. This role requires a seasoned professional who thrives in a fast-paced financial services environment and can manage complex schedules, confidential information, and multiple priorities with discretion and efficiency.

Key Responsibilities

Executive Support

  • Manage CEO’s complex calendar, including scheduling meetings, conference calls, and travel arrangements across multiple time zones
  • Prepare meeting agendas, materials, and briefing documents; attend meetings and prepare accurate minutes and action items
  • Handle confidential correspondence and communications on behalf of the CEO
  • Screen and prioritize incoming requests, emails, and phone calls

Operational Management

  • Coordinate board meetings, investor meetings, and executive team sessions including logistics, materials preparation, and follow-up
  • Maintain organized filing systems for sensitive financial documents and client information
  • Process expense reports and manage budget tracking for executive office
  • Serve as liaison between CEO and internal departments, clients, and external stakeholders

Strategic Projects

  • Support special projects and strategic initiatives as assigned by the CEO
  • Conduct research and prepare presentations for client meetings and business development opportunities
  • Coordinate due diligence processes and investment committee preparations

Qualifications

Required

  • 5+ years of executive assistant experience, preferably supporting C-suite executives in financial services, investment management, or professional services
  • Exceptional organizational skills with proven ability to manage competing priorities
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills
  • High degree of professionalism, discretion, and confidentiality
  • Excellent judgment and problem-solving abilities
  • Meticulous attention to detail and accuracy

Preferred

  • Bachelor’s degree
  • Familiarity with financial industry terminology and investment management operations
  • Experience coordinating board meetings and investor relations activities
  • Proficiency with CRM systems and project management tools

Work Environment

  • Full-time, in-office position located in Michigan
  • Standard business hours with occasional flexibility required for meetings and events
  • Professional office environment in the financial services sector
